The Student Worker Program Coordinator manages the full life cycle of the student worker hiring process for Grand Canyon Education and Grand Canyon University. This role oversees recruitment, eligibility screening, onboarding coordination, and reporting for all student worker positions, ensuring compliance with university policies and standards. The Coordinator partners closely with hiring managers, HR Business Partners (HRBPs), and internal stakeholders to deliver a high-quality, efficient, and compliant student worker program.

In addition to process oversight, this role provides mentorship to Human Resources student workers, monitors and reviews their work, and fosters their professional development. The Coordinator also analyzes and presents program data, offering recommendations to improve efficiency, effectiveness, and the overall student worker experience.

Primary Responsibilities /Accountabilities/ Essential Functions:

Program Coordination & Full-Cycle Recruitment

  • Manage the student worker hiring process from job requisition approval through onboarding handoff.
  • Review and approve student worker job requisitions in Workday, ensuring accuracy in job details, postings, and compliance with internal standards.
  • Post job requisitions to internal and external career sites, providing hiring managers with active job links.
  • Screen applicants for program eligibility, verifying enrollment status, GPA requirements, SAP standing, and location requirements.
  • Move qualified candidates forward to hiring managers; decline and document ineligible candidates with appropriate disposition reasons.
  • Process offers in Workday, ensuring compliance with student worker requirements, financial aid considerations, and rehire eligibility.
  • Attend and actively participate in on-campus student hiring events and tabling activities to promote student worker opportunities and engage potential candidates.
  • Develop and present informational sessions for managers and students, providing guidance on student worker processes, policies, and available resources.
  • Manage and maintain social media accounts dedicated to promoting student worker job opportunities, ensuring content is accurate, timely, and engaging.
  • Other duties as assigned.

Stakeholder Collaboration

  • Serve as the primary point of contact for hiring managers regarding student worker recruitment, timelines, and program requirements.
  • Partner with HRBPs, Compensation, and other HR functions to address unique role needs, job profile changes, or special recruitment requests.
  • Manage and collaborate with the University Finance Department to verify Federal Work-Study (FWS) eligibility, ensuring accurate and timely processing before extending offers.
  • Build strong relationships with managers who hire student workers, providing guidance on best practices for hiring, onboarding, and managing student employees.
  • Collaborate with internal HR teams to ensure alignment in processes, compliance, and program consistency.

Mentorship & Oversight

  • Supervise and mentor Human Resources student workers, offering guidance, feedback, and skill development opportunities.
  • Assign, review, and approve HR student worker tasks to ensure accuracy and timely completion.
  • Serve as a role model in demonstrating professionalism and service excellence.

Data Analysis & Program Improvement

  • Run and analyze recurring recruitment reports, including the Open Position Report and GC My Recruiting Jobs report.
  • Reconcile open requisition data between Workday and internal reports.
  • Track time-to-fill, requisition volumes, and candidate eligibility trends.
  • Prepare and deliver presentations on student worker program performance to HR leadership.
  • Recommend process changes, automation opportunities, or strategic adjustments to enhance program efficiency and quality.

Process Oversight & Compliance

  • Ensure all student worker hiring processes follow established SOPs, employment laws, and university policies.
  • Monitor requisition activity and candidate pipelines to ensure timely movement of candidates.
  • Maintain accurate and up-to-date documentation in Workday and team tracking spreadsheets.
  • Conduct regular audits of open requisitions to reconcile with reporting tools.

Experience/ Education

Required Qualifications

  • Bachelor’s degree in human resources, Business Administration, or related field; or equivalent combination of education and experience.
  • 2+ years of experience in recruitment, HR coordination, or related administrative role.
  • Excellent attention to detail, organizational skills, and ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, Teams).
  • Must pass background investigation.

Preferred Qualifications

  • Experience in higher education recruitment or student employment programs.
  • Knowledge of federal work-study (FWS) requirements and processes.
  • Experience mentoring or supervising others.
